Privacy Policy

This Privacy Policy applies to ALL MOVE LIMITED (NZBN 9429053295255) (we, us, our), operator of AllMoveTeam, the moving-company operations platform available at allmoveteam.com and related subdomains (the Platform). It should be read together with our Terms of Service.

We are committed to protecting privacy in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth) (Privacy Act). Personal Information means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

By using the Platform or providing Personal Information to us, you consent to our collection, use, storage, and disclosure as described in this policy.

1. What Personal Information we collect

Depending on how you use the Platform, we may collect:

  • name, email address, phone number, and job title;
  • business name, organisation details, and billing contact information;
  • account credentials and authentication identifiers (including via third-party sign-in providers);
  • operational data you enter or generate in the Platform (leads, jobs, customers, crew assignments, messages, timesheets, notes, and similar business records);
  • communications content when you use integrated channels (for example email or SMS synced into Inbox, or messages sent through the Platform);
  • technical and usage data (IP address, browser type, device information, logs, and cookies); and
  • information you provide when contacting support or applying for access.

Where your organisation connects a shared mailbox (such as a quotes or bookings address), we process email metadata and message content needed to display threads in Inbox and link them to leads or jobs. Your organisation controls which mailbox is connected and who may access those threads inside the Platform.

Crew mobile app: location data

The AllMoveTeam crew mobile app (iOS and Android) collects precise location from crew members who sign in with a linked staff profile. This section explains how that data is used.

  • When collected: while you are signed in and working on assigned jobs, including in the background when the app is not in the foreground.
  • Why: to share live move progress with customers on active jobs, to support dispatch and job status updates, and to record arrival milestones (for example reaching the pickup or drop-off address).
  • Who sees it: your employer's office staff (dispatch), and customers via their tracking link during an active move.
  • Your choice: the app requires "Allow all the time" location permission to function on native devices. You can revoke permission in your device settings or stop collection by signing out.
  • Retention: location points are retained as part of job operational records for as long as your employer keeps the job data in the Platform, then deleted or de-identified in line with our standard retention practices.

Push notification tokens are also collected on crew devices to deliver job and message alerts. Tokens are removed when you sign out of the app.

2. Why we collect and use Personal Information

We collect, hold, use, and disclose Personal Information to:

  • provide, operate, maintain, and improve the Platform;
  • authenticate users and manage organisation accounts, roles, and permissions;
  • enable scheduling, dispatch, crew tools, customer communication, and partner integrations;
  • send service, security, and administrative messages;
  • respond to support requests and troubleshoot issues;
  • comply with legal obligations and enforce our terms; and
  • with your consent where required, send product updates or marketing (you may opt out at any time).

3. Who we disclose Personal Information to

We may disclose Personal Information to:

  • other users in your organisation according to roles you configure (for example office staff vs crew);
  • service providers that help us run the Platform (hosting, database, email delivery, SMS, analytics, and support tools), only as needed to perform their services;
  • integration partners you enable (for example marketplace or lead partners when you connect them);
  • professional advisers (lawyers, accountants, insurers) where reasonably necessary; and
  • regulators, courts, or law enforcement when required or permitted by law.

We do not sell Personal Information.

4. Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, protect the Platform, and understand usage. You can control cookies through your browser settings; some features may not work if cookies are disabled.

5. Storage and security

Personal Information is stored electronically. We take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, modification, or disclosure. No method of transmission or storage is completely secure.

We retain information for as long as needed to provide the Platform, meet legal obligations, and resolve disputes. When no longer required, we take reasonable steps to delete or de-identify it.

6. Third-party services and integrations

The Platform may connect to services you authorise, such as Google Workspace (Gmail), SMS providers, or email delivery services. Those providers process data under their own terms and privacy policies. We only access third-party accounts using permissions you grant during setup.

Customer Personal Information you store in the Platform (for example your clients' names, phone numbers, or addresses) is processed on your behalf as part of providing the service. You are responsible for having a lawful basis to collect and use that information and for your own privacy obligations to your customers.

7. Disclosure outside Australia

Our infrastructure and providers may process data in Australia and other countries. Where we disclose Personal Information overseas, we take reasonable steps to ensure recipients handle it in a manner consistent with this policy and applicable law.

8. Marketing communications

You may opt out of marketing emails using the unsubscribe link in those messages or by contacting us. Service and security messages related to your account are not marketing.

9. Access, correction, and deletion

You may request access to or correction of Personal Information we hold about you by contacting us. We may need to verify your identity. In some cases we cannot provide access or must refuse correction under the Privacy Act; we will explain why.

Organisation administrators may be able to update or remove certain user and business data directly in the Platform. To delete an entire organisation account, or to request deletion of your user account and associated personal data, email support@allmoveteam.com or use our contact form. We will confirm and complete eligible requests within a reasonable time.

Crew app users: signing out stops location collection and removes push enrolment for that device. Account deletion is handled by your employer's organisation administrator or by contacting us as above.

10. Complaints

To complain about our handling of Personal Information, contact us using the details below. We will acknowledge your complaint and aim to respond within a reasonable time.

You may also contact the Office of the Australian Information Commissioner (oaic.gov.au).

11. Changes

We may update this Privacy Policy from time to time by publishing a new version on the Platform. Continued use after changes take effect means you accept the updated policy.
